We are seeking a highly organized and detail-oriented Warehouse Manager/Purchasing Manager to manage all aspects of inventory operations, both in-office and in the field. This role involves overseeing stockroom supplies, processing warranties, handling shipments, and ensuring accurate reporting and purchasing for all departments. The ideal candidate thrives in a fast-paced environment and is comfortable juggling multiple priorities across logistics, vendor coordination, and administrative support.

Responsibilities Include But Are Not Limited To

  • Office/Desk:
    • Issue supplies from the stockroom. Record everything on the check out sheet.
    • Place consignment orders daily (deadline: Thursday noon for Friday receipt).
    • Order non-consignment stockroom items as needed.
    • Order truck stock and PTU supplies as requested.
    • Get quotes on materials and supplies.
    • Track & order stockroom, t-stats, sheet metal, Freon, and in-house inventory.
    • Count and reconcile discrepancies regularly.
    • Create End of Month reports for stockroom, sheet metal, t-stats, Freon, and in-house inventory.
  • Back Shop:
    • Verify shipment accuracy, tag equipment with SOLD stickers including job number, customer name, and tentative install date.
    • Count sheet metal daily, track on spreadsheet for month-end.
    • Receive UPS & FedEx shipments, tag and stage parts, notify departments.
    • Prepare equipment for shipment when requested.
    • Wrap refrigerant recovery bottles, TAG, and manage exchange of tanks.
    • Receive truck deliveries using forklift when necessary.
    • Exchange nitro/ace/oxy bottles; schedule pickups/deliveries.
    • Inventory all company assets and update records annually.
  • Warranties:
    • Process warranty claims for small parts and stage larger parts outside the stockroom.
    • Return warranty items for credit, track credits, and research overdue credits.

Secondary Responsibilities

  • Process and match invoices and maintain accounts payable files.
  • Research invoice discrepancies and review vendor statements.
  • Gather and enter payroll time sheets.
  • Record all new purchases for year-end reporting.

Out Of Office / Travel

  • Retrieve/deliver equipment, parts, supplies across various locations.
  • Handle warranty returns, vehicle servicing, and driver transfers.
  • Run errands such as bank visits, post office, and lunch pickups.

Ongoing Daily Tasks

  • Issue PO's, handle parts inquiries, answer phones, assist service department, and shop for materials.
  • Attend to other tasks like invoice research and file management.
